CONFERENCE SERVICES ASSISTANT / AUDIO VISUAL TECHNICIAN
The Conference Services Assistant / Audio Visual Technician will handle the daily operations of a Conference Solutions operation inclusive of scheduling meetings and maintaining the set-up and appearance of the training rooms. Additionally, this position will provide Audio Visual assistance and equipment maintenance to all of the public conference and training rooms throughout the Campus.
Recipe to Succeed:
Check conference rooms daily for setup, general cleanliness and proper functionality of audio visual equipment. Introduce yourself to the meeting host and start up the necessary AV equipment prior to the meeting start
Daily check conference rooms for overall cleanliness and maintenance of furniture, fixtures and equipment. Report to facilities and track for completion all issues regarding cleaning and maintenance requests
Respond to meeting emergencies in a professional, timely fashion, quickly identifying and correctly resolving problems
Understand capabilities of AV infrastructure to ensure AV systems perform as intended
Utilize databases to effectively maintain records of all equipment. Keep up-to-date records of all emergency AV Help calls, documenting caller name, date, and nature of problem
Provide technical support and problem resolution for installed technical systems. Replace failing projector bulbs, replace failed interfaces and coordinate with senior audio visual staff to repair damaged systems
Set and reset all centrally managed meeting rooms according to the daily Banquet Event Orders (BEO)
Responsible for maintaining the accuracy of meeting room standards - in the centrally managed meeting rooms
Conduct regular AV preventative maintenance tests on equipment in all meeting rooms. Report equipment problems to senior audio visual staff
Provide Audio Visual training to end-users when needed
Maintain inventory of all AV and Conference Services supplies. List any needs for AV to the senior audio visual staff and Conference supplies to the Flik Group Manager. Maintain the storage room, making sure its neat and organized. Maintain the table/chair storage room, making sure its neat and organized
Maintain professional and positive customer relationships and ensure timely response to all inquiries for space or audio visual service needs
Responsible for working directly with the onsite client, managers and Flik Group Manager on all tasks including, but not limited to: shipping& receiving, implementation of standards, accuracy of reporting, etc.
Must effectively plan and communicate to all departments (Conference Services, Food & Beverage, Housekeeping, Security, & Facilities) the expressed needs of the customer
Communicate requests to other vendors (facilities, housekeeping, security) to maintain facility and ensure customer satisfaction.
Assist the Conference Center Manager with monthly reports including but not limited to conference room usage, site activity, daily meeting list, lunch tickets, schedule board, etc.
Report to work as scheduled in professional business attire worn properly
Adhere to all FLIK International policies and procedures as set forth in the employee handbook
Necessary Ingredients:
A minimum of 2 years experience in Audio Visual services, CTS certification preferable
Knowledge of AV control systems, projection systems, and wireless microphone technologies
Experience with products such as Crestron, AMX, Tandberg, Polycom, Extron, ClearOne, Lutron
Motivated to actively pursue audio visual technical training through Infocomm and other related groups, so that a CTS is achieved within 6 months and ongoing technical education plan is outlined annually
Advanced knowledge of Microsoft Office, to include: Powerpoint, Excel, Word, Outlook Mail & Schedule, and the Internet
Excellent organizational and administrative skills with the ability to prioritize tasks
Ability to carry out responsibilities with little supervision, as well as handling many tasks simultaneously
Ability to work in high-pressure situations and handle multiple tasks simultaneously while maintaining a professional and appropriate demeanor
Demonstrates ability to interact with customers on a daily basis with a pleasant demeanor
Any other special projects, duties deemed necessary by your supervisor or Manager
