Job Description:
This role supports the CEO of Eurest and will also provide support for identified projects for the overall team.
Responsibilities:
- Calendar management for the Executive.
- Manage travel arrangements and travel & expense reimbursement for Executive.
- Coordinates meetings and conferences, agendas, site locations, and meals with a focus on creativity and expense management.
- Coordinates conference calls which emcompass all time zones across the US
- Act as the point of coordination for team and their leadership for identified communications and reporting
- Communicate relevant information to team members such as change in schedule dates, changes in project requirements, report requests.
- Work with leadership on contracts, proposals, re-bids, new sales, and refreshes
- Retrieve and interpret data from SAP and other HR systems to support the team.
- Provide support by partnering with other areas of HR to obtain data, such as Relocation or Compensation.
- Liaison effectively with IT and facilities on behalf of the team.
- Manage several ongoing reports and disseminate materials, adhering to deadlines.
- Organize and prepare executive-level communications and presentations.
- Provide documentation and reconciling expenses while monitoring budgets.
- Maintain files.
- Assist with other department duties as assigned.
Qualifications:
- Minimum of Associates degree required plus 5+ years executive administrative support to a senior level executive required
- Self-starter; the ability to work with minimum supervision
- High degree of confidentiality and professionalism
- Ability to learn HRIS systems quickly in order to extract data and run reports
- Ability to handle sensitive information in a confidential way
- Highly proficient with MS office (Word, Excel, PowerPoint, Outlook)
- Ability to multi-task and work effectively within shifting priorities
- Strong internet and research skills
- Superior communication skills (written, verbal, listening, and presenting)
- Exceptional organizational skills; extensive experience coordinating projects, setting priorities, meeting deadlines, and following up on assignments with minimum direction,
- Time management and stress management skills in order to work in fast paced environment
- Ability to work well with all levels of internal management as well as outside clients and vendors
- Must take ownership and be committed to deliver excellence
