Position summary:
The Marketing and Operations Coordinator position for Bon Appétit Management Company will be assigned to the Adobe accounts and is considered an administrative position; responsible for fulfilling administrative duties in support of the company’s food service program. This position will have specific objectives provided by the Global Catering Director, encompassing several aspects of marketing and administrative duties, always meeting standards and expectations of service and food programs. This position requires strong organizational and multi-tasking skills to successfully support all marketing and administrative initiatives. This position will demonstrate an ability to work with teams and all levels of employees to develop a productive environment that exercises dignity and respect within the account. The Marketing and Operations Coordinator will be well trained in marketing and operations to achieve position objectives and will contribute to solving problems professionally, rapidly and fairly. This position will also be expected to maintain a positive working relationship with client, customers, and employees.
Position Objectives:
In the performance of their respective tasks and duties all employees are expected to conform to the following:

Major Duties/Functions/Tasks:
Administrative Duties
- Perform general administrative duties including: handle all incoming calls, making copies, faxing, handle mail and correspondence, handles email and filing in an accurate and timely manner.
- Assist managers with administrative duties including: business and financial reports on company specified operating systems such as Microsoft Word, Outlook, Excel, PowerPoint, and other software and online programs.
- Assist managers in preparing confidential and sensitive information relating to employee data. May be exposed to HR information that will require confidentiality and sensitivity to information pertaining to employees.
- Manage daily menu postings that include labels, allergen menus and sign. Update online menu using company websites. Handle with high efficiency and accuracy to meet deadlines.
- Utilize regional marketing resources to create company approved posters, announcements, and other published collateral.
- Handle all incoming correspondence, electronic, faxed and paper memos, and forward to correct parties for proper handling.
- Work effectively and efficiently with all levels of the company, clients, customers, and external vendors, to include managers and supervisors within the accounts.
- Maintain clean and organized work area.
Customer Service and Client Relations
- Represent the company in a courteous, efficient, and friendly manner in all customer, client and employee interactions
- Work with manager to respond to all comments and complaints within 24 hours and follows up with a written response to the General Manager.
- Exhibit strong customer service and resolves customer complaints in a verbal or written manner to resolution. Report issues to manager and keep them updated on pending issues.
- Communicate with manager and client openly, accurately and in a timely manner.
People Processes
- Be part of the new hire orientation program and ongoing training as an employee of the company. Provide updated acknowledgements (i.e., Offer Letter, Open Communication & Zero Tolerance Policies, Safety Rules, Wage & Hour – QRC & Summary of Meal Periods & Rest Breaks, Serve Safe Certification, Worker’s Compensation, Attendance Policies, etc.) to appropriate managers or employees as needed to keep all employee files current and up-to-date.
- Maintain confidentiality when working on employee files system.
Safety and Sanitation
- Work with the manager to be aware of company safety programs and listen attentively to the safety champion, and be aware of employee safety protocols such as evacuations, proper hand washing, cut glove, uniform standards, knife skills, reporting accidents. Immediately alert the manager regarding employees that fail to report accidents or incidents to the company.
- Adheres to all company policy with Risk Management and Safety that follow the Health Department, OSHA and ADA regulations.
- Reports all injuries within 24-48 hours.
- Be aware and report all food borne illness and incident for customers and/or staff accurately and in a timely manner. For serious issues, contact the Compass Crisis Line immediately for outbreak of food borne illness or injury.
Qualifications:

- Education: A 4-year degree in Marketing or Business Management is a plus.
- A 2-year degree in Marketing or Business Management in addition to 2-3 of year of work experience in marketing or in an administrative role.
- In lieu of a degree, 3-5 years of work experience as an administrative assistant in a marketing department, catering, or other food industry establishment
- Work Experience: Aside from education requirements listed above, a minimum of 3 of work experience as an administrative assistant in marketing, a catering company or other food-related business establishment
- Strong organizational skills, attention to details and ability to multi-task. Can work well under tight deadlines.
- Excellent written and verbal skills; ability to correspond verbally and in written format with proper grammar and spelling skills
- Strong computer and technical experience using Microsoft Word, email systems, calendars, spreadsheets, presentation software, and the ability to use online systems and other applications.
- 10-key proficiency and ability to demonstrate solid math skills
- Excellent customer service skills; positive and is open to performance feedback to ensure stronger results with achieving business objectives
- Professional knowledge and/or experience and interest in sustainability and sustainable food practices is a plus
Certificates, Licenses, Registrations:
- Must have a valid driver's license - minimum of Class C (non Commercial Driver License) license and clean motor vehicle record.
